How to Digitize Your Pet's Health Records
A practical pass at converting years of paper vet records into something searchable, in an afternoon rather than a project.
Work Backwards, Not Forwards
The instinct is to start with the oldest document and work forward chronologically. That is the slowest possible order and the reason most people abandon it halfway, having digitised the least useful material.
Start with the most recent year and work backwards. The records you will actually be asked for are the current ones: the last vaccination, the current prescription, the most recent bloodwork. If you stop after an hour, you will have captured the part that matters.
Photograph Well Enough to Be Read
A phone camera is entirely adequate; the failure mode is not resolution but glare, shadow and angle. A vaccine lot number or a handwritten dose is the exact detail a bad photo destroys, and those are the details you are capturing the document for.
Flat surface, even light from the side rather than overhead, and the whole page in frame with the edges visible. Check the photo before you move on — re-shooting immediately takes seconds, and discovering an illegible photo months later usually means the paper is gone.
- Lay the page flat and remove staples that cast shadows
- Light from the side, not directly overhead
- Fill the frame and keep all four edges visible
- Avoid flash on glossy or laminated certificates
- Zoom in and confirm dates, doses and lot numbers are readable
What Actually Needs Capturing
You do not need every page. Appointment reminders, payment receipts and food recommendations rarely earn their place, and including them makes the useful documents harder to find.
Capture what someone might later ask you to prove or reference: vaccination certificates, prescriptions, surgical and dental notes, lab and imaging results, and anything recording an allergy or adverse reaction. If you cannot imagine a question the document answers, leave it out.
Name Things So You Can Find Them
If you are filing into folders, a consistent name is what makes the difference between a searchable archive and a heap of IMG_4417 files. Date first in year-month-day order sorts chronologically on its own, which removes the need for any further organising.
Something like 2026-03-14-bella-rabies-certificate carries the date, the pet and the document type, and reads the same way to anyone else who opens the folder. The specific convention matters far less than using the same one every time.
Check What Was Extracted
Tools that read dates and vaccine names out of a photographed document save real time, and they are not infallible. Handwriting, faded thermal paper, unusual layouts and photographs taken at an angle all produce misreadings, and a misread date on a vaccination record is worse than no record at all.
So treat extraction as a first draft. PetVitale reads the details from a photographed document and puts them on the pet's timeline for you to confirm, which is faster than typing but still asks you to check the dates rather than assuming they are right.
Decide What Happens to the Paper
Most of it can go once you have a legible copy stored somewhere that is backed up. The exception is anything you may need to produce as an original — rabies certificates in particular, where a municipality, a border crossing or a landlord may want the physical document rather than a photograph.
Keep those originals together in one envelope and digitise them as well. The digital copy is what you will use ninety-nine times; the paper is for the one occasion that demands it.
Frequently asked questions
What is the best way to digitize pet records?
Photograph each document flat, lit from the side, with all edges in frame, starting with the most recent year and working backwards. Check each photo is legible before moving on, and capture only documents that answer a question someone might ask.
Can I just take photos of vet records with my phone?
Yes. A phone camera has plenty of resolution. What ruins these photos is glare, shadow and angle, which is why confirming that dates, doses and lot numbers are readable matters more than the camera itself.
Is AI scanning of pet records accurate?
It saves significant typing but is not infallible. Handwriting, faded thermal paper and angled photographs all cause misreadings. Treat extracted details as a draft and confirm the dates before relying on them.
Can I throw away pet records after scanning them?
Most of it, once you have a legible backed-up copy. Keep originals of anything you may need to produce physically, particularly rabies certificates, which a municipality, border crossing or landlord may want in original form.
